PRIVACY POLICY

 

The Dereham & District Probus Club of is committed to protecting your privacy and processing your personal data in accordance with the General Data Protection Regulation (GDPR).
This policy explains how the information we collect about you is used and kept securely as well as your right to access your information under Data Protection Regulation.
For the purposes of this Regulation, the Club Secretary of the Dereham & District Probus Club is the data controller.

The legal basis for processing your information is by your consent.

 

The information we collect about you:

 

Name;
Name of partner (if applicable);
Next of kin;
Physical Address;
Date of Birth;
Date of Joining;
Email Address (if available);
Any other information you voluntarily provide to us when you join the Club or in correspondence during the period of your membership. Photographs identifying members, taken at functions held by the Club, may be published from time to time but always subject to prior permission of members concerned.

We do not obtain personal data from other outside sources or third parties.

 

How the data will be held:

 

The data will be held securely by the Membership Secretary.
It will be held both in a secure paper file & on a passworded memory stick.
The data must be kept up to date, so it is necessary that members notify the Club Secretary of any changes in their contact details when they occur or in any event no later than the next AGM.

 

How we use your information: 

 

We will use your personal information solely for the purposes of running the Club.
We will not share your data with any third party for marketing or any other purpose.

Finding out what information we hold about you Under the General Data Protection Regulation
You can ask to see any personal information that we hold about you.
Such requests are called subject access requests.
If you would like to make a subject access request, please contact the Club Secretary.
We will respond promptly, within one calendar month at the latest.
You have the right to have the club rectify or remove any inaccurate data we hold concerning you.
You also have the right to have the Club erase any or all personal data concerning you at any time without delay, except insofar as such information has actually been published prior to your request.

 

Data retention:

 

Your personal data will only be retained for as long as it is required for managing the Club’s affairs.
When your membership terminates your name will be recorded in the Club archive.
All other personal data that we collect from you will be erased.
In the event of your death whilst still a member, we will retain the details of your partner so we can make contact regarding social events to which he/she may be entitled to attend.
Your personal data may include any information you have given concerning your partner, for which the legal basis for our holding it is also deemed to be your consent under the Regulation.

 

Changes to this Privacy Policy:

 

The Club Committee regularly reviews this Privacy Policy and changes will be approved at a General Meeting.
This Privacy Policy was last updated in July 2018.
